Director & Co-Founder
Paul Carmen

Paul heads up the Commercial Division and has 26 year’s experience working in the Commercial Sector. Paul is highly experienced in the management of building fabric maintenance and small works. Paul appreciates the importance of client’s time restraints and cost management from a maintenance call to a £1.5million fit-out. His experience has led him to work with some of the biggest blue chip clients including Mitchells & Butler, Greene King, Boots the Chemist, BAA, McDonald’s restaurants, Fullers Smith & Turner, Sixt and Nandos.

Darrell Privett

Darrell also heads up the Commercial Division alongside Paul and has 15 years experience working in the Commercial Sector. His experience, knowledge and enthusiasm is key in ensuring that Advance PM are able to meet the criteria set by each of our clients whilst applying the same level of care and attention to detail both on site and client facing. Darrell comes from an engineering background but has a proven track record of both back office and front of house business management credentials. Darrell is extremely customer focused and has on many occasions gone above and beyond to ensure the satisfaction of our clients every step of the way from conception to completion. His experience has led him to work with some of the biggest blue chip and independent clients including Pizza Hut, REED, Credit Suisse and Grosvenor Casinos.

JobFlow is a complete work management system. It will help you to manage and grow your business, bringing all areas under control with powerful real time communication and reporting.

JobFlow is suitable for reactive works, preventive maintenance and large projects. It is scalable for any size of business and offers flexibility with different data capture device options; choose between our own Android App for bespoke electronic forms or destiny digital pen to retain your existing paper forms.

Our Process

How We Work

Log Client Request

Jobs (Responsive, PPM or Project) and quote requests are logged to the client and site. Once approved, quotes can be instantly converted to a job. History of work for client/site/asset may be viewed. Jobflow records if a certificate (eg NICEIC) should be issued when the work is complete and will remind you to attach a copy to the job record before the job can be closed.

Job Allocation

Easily allocate jobs to the appropriate operative or sub-contractor via a simple diary layout, notifying them via email or TomTom. Urgent jobs can be allocated to the nearest available operative, using the TomTom vehicle location map. Once a job is accepted, TomTom navigates to site, updating JobFlow with the estimated arrivale time, taking into account traffic and unscheduled stops. Each job can be assigned to a member of office staff to oversee. Daily job related tasks for office staff can be allocated and monitored too

Parts Stocks & Controlls

Use JobFlow to order hired plant and parts for jobs or general stock. Record stock at any number of locations, including vehicles. Adjustments are made via JobFlow as parts arrive, are used, or transferred between locations. Top up orders will be generated as your preferred holding levels are breached, ensuring each location has optimum stock. Never forget to return hired plant again – hired plant must be notified as returned before JobFlow will let you close the job! A list of all outstanding hired items is available on demand.

Site Visit

Digital pen and paper users complete hard copy forms to record works done. For App users, bespoke electronic forms are set up on the operative’s device. JobFlow will not allow progress unless they are completed in the order you specify (eg. Risk Assessment or Permit to Work before Worksheet). Record works done, assistant engineers, parts used, assets, photos, out of pocket expenses, lunch taken, and time-sheet information. Including the ‘all important’ Client Signature. If ‘extra works’ are required, the operative can send a survey form with full details back to JobFlow for a new quote to be prepared.

Data Capture

DMS ANDROID APPLICATION Send and Receive the most compact data input solution for JobFlow. Forms, data and photographs can be input to the system from site to populate JobFlow. Plus! job information, site drawings, plans etc. can be emailed to operatives who can also access parts stock information and view their diary to see upcoming work. DIGITAL PEN AND PAPER - Ideal for clients who need a hard copy of worksheets. The worksheet is handwritten as normal, with the data captured and sent to JobFlow.

Other Skill

If required, additional workers or sub-contractors with different skills may be allocated to a job at any time. Client Contact - Accurate and up to date information. Keeping clients up to date with job progress information is simple with JobFlow. All authorised staff can be quickly trained to navigate JobFlow screens either in the office or remotely. This enables them to answer client queries quickly with accurate, up to date information. Clients can access their own job information via the optional Client Access Module and place jobs directly on-line too!

Job Finished

Invoice immediately to improve cash-flow. All worksheets, complete with client signature, are received at head office as an operative leaves site, so the job can be costed and invoiced straight away. No torn or coffee stained worksheets arriving back from operatives weeks later for processing! Electronic worksheets or forms can be emailed instantly to the client. If you choose our digital pen and paper solution, the client gets a hard copy of the worksheet too.

Invoice

Individual & Batch - The cost of parts, hired plant, sub-contractors and employees are all tied to the job record for fast job costing and invoicing, JobFlow lets you vary VAT rated for invoicing, it also handles retention’s at any rates over any period, invoicing all or part of a job as required. JobFlow also has a fast and efficient system for raising batch invoices, where multiple jobs are billed on a single invoice. ACCOUNTS COMPATIBILITY - Purchase and sales invoice transactions can be exported to most specialist accounts packages, eg. Sage 50, 100 and 200, Sage Construct, Exchequer, Xero.

Live reports are available on-demand by any parameters to help you plan your business. Plus, with TomTom integration, clear reporting on vehicles, trip mileage and working hours helps you control your fleet and monitor your carbon footprint. We can provide a dashboard of your KPIs to give you an instant, up to date picture of the service you are providing.
